Who we are

ob. studio (studio.itsoffbrand.com) is run by It's Off Brand Limited ("OFF+BRAND.", "we", "us"), a company registered in Scotland (SC675682), BK Plus, Gordon Chambers, 90 Mitchell Street, Glasgow G1 3NQ. This notice covers the people who use it: our team, freelancers and partner studios. It adds to our main privacy notice, which sets out your rights in full. Questions: contact@itsoffbrand.com.

What we hold about you

• Your name, email addresses, role and disciplines, and the country, time zone and working hours you set.
• The projects you're booked on, the time you log, and time off from our resourcing calendar.
• Invoices you send us: the file and its details, and our notes on it.
• Your pay rate, which only our founders can see.
• When you last signed in, and a record of changes made in the tool.

We use this to plan and run our projects, pay you, keep our accounts and meet our legal duties. Our lawful bases are our contract with you, our legitimate interest in running the business, and legal obligation for financial records.

Signing in with Google

If you choose "Continue with Google", we ask Google only for your email address and an ID for your Google account (the openid and email scopes). We use them only to confirm it's you and match you to the account we set up for you. We don't receive your Google password, contacts, files, calendar or anything else.

We keep the Google account ID with your account so nobody else's Google account can sign in as you. We don't share it, use it for advertising, or use it to train AI. ob. studio's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

You can stop using Google sign-in at any time and use your email and password instead. To remove our access, go to your Google account's connections.

Reading invoices with AI

When you add an invoice or receipt, we can send the file to Anthropic's Claude to suggest its details for you to check. Anthropic doesn't use this data to train its models. Nothing is kept from the reading itself; only what you send is stored.

Where it's kept and who sees it

ob. studio runs on Cloudflare, with its database and files stored in Western Europe. Invoice and receipt files are encrypted before they're stored. It also uses Notion (people and project records), Google Workspace (the resourcing calendar) and Slack (messages from our assistant, oBot).

What you can see depends on your role: freelancers see their own bookings, time and invoices; project managers see hours and bookings but no pay or money; founders see everything. We don't sell your data.

Cookies

Only what sign-in needs: one cookie that keeps you signed in for up to 30 days, and one that lasts ten minutes while you sign in with Google. No analytics or advertising cookies.

How long we keep it

Records of your work with us are kept for 6 years after it ends, and invoices and financial records for 7 years, as the law requires. You can ask us to close your account at any time.

Your rights

You can ask to see, correct or erase your data, or object to how we use it. See section 13 of our main notice, or email contact@itsoffbrand.com. You can also complain to the Information Commissioner's Office at ico.org.uk.
